Why managed IT prices vary so much
Two MSP proposals can differ by thousands of dollars per month and both be mathematically “correct” because they are not selling the same scope. One may include cybersecurity, backups, onsite support and strategic planning. The other may charge separately for each of those services.
Before comparing monthly totals, normalize the proposals. Ask what is included, what is excluded and which charges can appear outside the recurring agreement.

What drives the monthly cost?
Number of users
More employees generally means more support demand, identities, endpoints and licensing.
Servers & infrastructure
On-premises servers, virtualization, backups and specialized applications add operational responsibility.
Cybersecurity scope
EDR, MDR/SOC, email security, privileged access, awareness and vulnerability management materially change the service.
Compliance
CMMC, NIST, cyber-insurance or customer requirements can add controls, evidence, documentation and review work.
Locations & onsite support
Multiple offices and frequent hands-on support increase delivery cost compared with a remote-first environment.
Current condition
An undocumented, unsupported or insecure environment usually needs onboarding remediation before it becomes predictable to manage.

Example: 25-user professional-services company
Consider a 25-user company with one office, Microsoft 365, standard Windows endpoints, no unusual compliance burden and a need for help desk, monitoring, security and planning.
Using a broad $125–$250 per-user planning range, the recurring budget could land roughly between $3,125 and $6,250 per month before unusual server, licensing, project or remediation costs. The point is not that every provider should quote inside that range; the point is to give leadership a realistic order of magnitude before comparing proposals.

- Who reviews alerts and who is responsible when something happens after hours?
- Does the agreement include technology planning or only ticket support?
- What onboarding or remediation costs should we expect?
- How are projects, new computers and moves/adds/changes priced?
How Atlantec prices managed IT
Atlantec prefers to understand the environment before issuing a recurring managed-services proposal. Headcount is useful, but it is not enough to price responsibly. We look at users, devices, servers, locations, applications, Microsoft 365, security requirements, backups and the condition of the inherited environment.
That assessment makes the proposal easier to compare and reduces the chance that important work later appears as a surprise exclusion.
